Effective Date: July 3, 2026
1. Introduction
1.1 Purpose
GreenSense Billing ("GreenSense," "we," "us," or "our") provides medical billing, coding, revenue cycle management, provider credentialing, and related administrative services to healthcare practices across the United States, along with supporting tools such as the GreenPay Station patient payment portal. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information gathered through our website, greensensebilling.com and through related online forms, consultations, and communications (collectively, our "Site").
By visiting or using our Site, you acknowledge that your personal information will be handled as described in this Privacy Policy.
1.2 Scope
This Privacy Policy applies to personal information we collect through:
- The GreenSense Billing website and any pages, subdomains, or landing pages linked to it
- Contact forms, consultation requests, free audit requests, and newsletter sign-ups
- Phone, email, and live chat communications with our sales, billing, and support teams
- Interactions with our social media pages, to the extent personal information is shared with us directly
1.3 Information Not Covered by This Policy
GreenSense Billing acts as a business associate, as defined under the Health Insurance Portability and Accountability Act of 1996 and its implementing regulations ("HIPAA"), to the healthcare practices and providers we serve. In that capacity, we create, receive, maintain, and transmit Protected Health Information ("PHI") on behalf of our provider clients in connection with billing, coding, claims submission, denial management, credentialing, and payment processing through tools such as GreenPay Station.
That processing is governed by the Business Associate Agreement and service agreement in place with each provider client, together with HIPAA and other applicable law, and not by this Privacy Policy. If you are a patient of a practice that uses GreenSense Billing's services and have questions about how your health information is collected, used, or disclosed, please contact that practice directly and refer to its Notice of Privacy Practices. GreenSense Billing does not independently determine how a provider's patient data is used and will direct any inquiries we receive about a specific patient's records back to the applicable provider.
1.4 Relationship to Other Policies
This Privacy Policy should be read together with our Cookie Policy and Terms of Use, which are incorporated by reference. If a service-specific agreement, such as a Business Associate Agreement or client services agreement, conflicts with this Privacy Policy, the service-specific agreement controls with respect to that service.
1.5 Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes in our practices, technologies, or legal obligations. Updates take effect as of the revised "Effective Date" shown above. Continued use of the Site after an update becomes effective constitutes acceptance of the revised policy. We encourage you to review this page from time to time.
